Privacy Policy
De Keyser Webdesign (Duffelsesteenweg 55, 2550 Kontich, Belgium, company registration number BE 1040.500.093) takes the protection of your personal data seriously. This privacy policy explains what data we collect, why we collect it, how long we keep it, and what rights you have.
This policy applies to all personal data processed through the dekeyserwebdesign.com website, the contact form, the client portal, and the services provided by De Keyser Webdesign.
1. Who is responsible for your data?
De Keyser Webdesign is the data controller for the personal data collected through this website. If you have questions about this privacy policy or how your data is processed, you can reach us at hello@dekeyserwebdesign.be or 0468 18 31 65.
2. What data do we collect?
We only collect the data you provide to us directly, or that is necessary to deliver our services:
- Contact and project requests: name, email address, company name, project type, estimated budget and the content of your message, submitted via the ‘Start a project’ form.
- Client portal: account details (name, email address), tickets, attachments and messages you create to request or track changes to your website.
- Billing and contract data: name, address, VAT number and payment details needed to carry out an agreement and meet our legal (accounting) obligations.
- Technical data: your language and light/dark display preference, stored locally in your browser (see our cookie policy).
3. Why and on what legal basis do we process your data?
- To respond to your request and prepare a quote or proposal — based on your consent and/or pre-contractual steps taken at your request.
- To carry out and manage a web design, maintenance or hosting agreement — based on the performance of a contract.
- To provide the client portal and related ticket follow-up — based on the performance of a contract.
- To comply with legal, tax and accounting obligations — based on a legal obligation.
- To keep the website technically functional and remember your preferences — based on our legitimate interest in a well-functioning website.
4. How long do we keep your data?
Contact requests that do not lead to a collaboration are kept for a maximum of 12 months. Data related to an ongoing or completed agreement is kept for the duration of the collaboration, extended with the legal retention periods that apply to invoicing and accounting (typically 7 years in Belgium). Client portal data is kept for as long as your account is active, and afterwards for a reasonable period to handle any disputes.
5. Who do we share your data with?
We never sell your data to third parties. We do work with carefully selected processors that help us deliver our services, including:
- Resend — for sending emails from the contact form.
- Our hosting and infrastructure partners — for hosting the website and client portal.
- Accounting or invoicing software — for processing billing data.
6. Transfers outside the European Economic Area
Some of the processors listed above may process data on servers located outside the European Economic Area (EEA). In that case, we make sure appropriate safeguards are in place, such as the European Commission's standard contractual clauses or an equivalent level of protection.
7. Security
We take reasonable technical and organisational measures to protect your data against loss, misuse or unauthorised access, such as encrypted connections (HTTPS), limited access to data, and careful selection of processors.
8. Your rights
Under the General Data Protection Regulation (GDPR), you have the following rights:
- The right to access the data we hold about you.
- The right to rectify inaccurate or incomplete data.
- The right to erasure (‘right to be forgotten’), where no legal retention obligation applies.
- The right to restrict processing.
- The right to data portability.
- The right to object to processing, in certain cases.
- The right to withdraw your consent at any time, without affecting the lawfulness of processing before the withdrawal.
9. Filing a complaint
You can exercise your rights by contacting us at hello@dekeyserwebdesign.be. If you are not satisfied with how we handle your data, you can also file a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels — contact@apd-gba.be — www.dataprotectionauthority.be.
10. Changes to this policy
We may update this privacy policy from time to time, for example when our services or applicable law change. The date at the top of this page indicates when the policy was last updated.
